MedRegis Patient Portal — Terms of Use

About these terms
The MedRegis Patient Portal (the "Portal") is provided by MedRegis Inc. ("MedRegis", "we", "us", "our"). These terms set out the rules for using it, and what you can and cannot expect from it. By creating a Portal account and using it, you agree to them.
The Portal shows you information from the record your clinic keeps about you. Your clinic is responsible for that record and for your care. We provide the software your clinic uses and the Portal you view it through.
These terms are between you and MedRegis. The agreement between your clinic and MedRegis is separate, and these terms do not form part of it. How we handle information about you is explained in the Patient Portal Privacy Notice.
1. Your account
You create your Portal account yourself. Keep your login details to yourself and do not let anyone else use your account. Anything done through your account is treated as done by you.
If you think someone else has used your account, or has your password, tell us at privacy@medregis.com and change your password.
The details you give us when you create your account, including your National ID number, must be accurate. If your National ID is wrong you can correct it yourself before a clinic connects to you; after that, contact us.
2. Your connection code
Your Portal shows a connection code. It is how a clinic connects your Portal account to the record it holds about you. Give it only to a clinic you want connected to your Portal, and treat it as you would a password.
The code changes each time it is used, so a code that has already been used cannot be used again.
3. Connecting to a clinic
Your clinic enters your code and it is checked against the identity details in the clinic's own record. Two things have to match before a connection is made. You can be connected to more than one clinic at a time.
A connection lets you see the information that clinic has recorded about you and shares with you, for as long as the connection lasts.
4. What you see in the Portal
The Portal shows you what your clinic has recorded. Your clinic decides what goes into your record and what is shared with you through the Portal. We do not decide either, and we do not add to, change or remove anything in a clinic's record.
Information in the Portal may change as your clinic updates its record. Clinical summaries and post-visit instructions may be amended after you have seen them, including where something you have already read is corrected or removed.
Information appears in the Portal as your clinic records it and makes it available to you. Some information may not appear straight away. Your clinic's own record is the source of record, and it is the place to check if something looks missing, unclear or wrong.
5. The Portal is not clinical advice
The information in the Portal is provided for your information. It is not a clinical interpretation, a diagnosis, or advice about what you should do. Results and reports in particular can be difficult to read out of context, and a figure outside a normal range does not by itself mean something is wrong.
If you have a question about anything you see in the Portal, or about your care, ask your clinic. Do not start, stop or change any treatment based on what you read in the Portal.
6. Not for emergencies
The Portal is not a way to contact your clinic and there is no messaging in it. Nobody monitors the Portal for messages or replies through it.
If you have an urgent or serious concern about your health, contact your clinic directly, call emergency services, or go to the nearest emergency department. Do not use the Portal, and do not wait for anything to appear in it.
7. Appointments
Where your clinic offers appointment booking through the Portal, an appointment you create is confirmed and booked when you create it, and the clinic is notified. Appointments can be made for the next day at the earliest.
If you need to change or cancel an appointment, or need to be seen sooner, contact your clinic directly.
8. Information you send through the Portal
Where your clinic asks you for information through the Portal — such as vitals, a form or a document — what you send goes into your clinic's record, marked as having come from you. Once it is there, it is part of the clinic's record: only the clinic can change or remove it.
You cannot edit the record your clinic holds about you. If something in it is wrong, tell your clinic and ask for it to be corrected.
Send accurate information, and do not send anything about another person unless you are entitled to.
9. Sharing your profile with another clinician
You can share your profile with a clinician at another clinic that uses MedRegisEHR. Before you do, understand what a share does:
It goes to the named clinician you send it to, not to that clinic generally. Only that clinician can view it.
It is read-only. The clinician can see your information but cannot change it.
It lasts for the period you choose, and you can end it at any time.
The clinician can see which clinic each part of the information came from.
Ending a share, or letting it expire, stops further access from that point. It does not undo access that has already happened — anything the clinician has already read, written down or copied into their own records stays with them, and we cannot retrieve it.
Share deliberately, share with a clinician involved in your care, and end a share when you no longer need it. A record of the shares you have made is kept in your Portal, visible to you.
10. Disconnecting, and closing your account
You can disconnect from a clinic at any time, from within your Portal. The clinic will see that the connection has ended. Disconnecting stops that clinic's record being shown to you; it does not remove or change the record the clinic holds, and it does not affect your care.
You can also close your Portal account from within your Portal. Closing it removes the account, its connections, and the record of the shares you have made. Your medical records are not affected — each clinic keeps its own record of your care.
If you close your account and later want a Portal again, you will need to create a new account and reconnect to each clinic.
[FLAG — confirm shipped] Self-service disconnect and deletion (Portal handoff §6, items 6 and 7) are in build and expected live before publication. Confirm both are in production on the day of publication. Re-registration after closure confirmed 26 August 2026.
11. Using the Portal properly
Use the Portal only for your own record and your own care. Do not:
share your login details, or let anyone else use your account
try to access anyone else's information, or any part of the system you have not been given access to
interfere with the Portal, or attempt to get around any security or access control in it
use the Portal to send anything unlawful, or anything about another person that you are not entitled to send
If your account is used in any of these ways, we may suspend or close it. Where we can, we will tell you first; where the reason makes that impractical, we will tell you afterwards. Closing your Portal account does not affect your care or your clinic's records.
12. Availability and changes to the Portal
We work to keep the Portal available, but we do not guarantee that it will always be available or free of faults. It may be unavailable during maintenance, or because of problems outside our control.
We may add, change or remove features of the Portal. Where a change materially reduces what the Portal does, we will give you reasonable notice where we can.
Because the Portal may be unavailable, do not rely on it for anything time-critical. Your clinic remains reachable directly.
13. Who is responsible for what
Your clinic is responsible for your care, for what is recorded about you, for what it shares with you through the Portal, and for acting on anything you send it. We are not responsible for any clinical decision, for the accuracy or completeness of what a clinic records, or for what a clinic does or does not share with you.
We are responsible for providing the Portal. To the extent permitted by law, we are not liable for loss arising from your use of the Portal, including where the Portal is unavailable, where information appears later than you expected, or where you act on something in the Portal without asking your clinic.
Nothing in these terms limits any liability that cannot be limited by law, or affects any right you have under data protection law or as a consumer.
14. Law
These terms are governed by the laws of Barbados. If you live outside Barbados, this does not take away any protection you have under the law of the country you live in that cannot be set aside by agreement.
15. Changes to these terms
We may update these terms. When we do, we will show you the current version and ask you to agree again. We keep a record of which version you agreed to and when.
